The Human Resources Assistant is responsible for the administration of the VIE, Short Term Trainee and non-GMD US Associate programs.
In addition, the HRA will provide back-support to the immigration function.
VIE Program (ranges from ~80-100 VIEs in multiple locations (New York, Miami, Chicago, and Houston)
Point person for day-to-day issues relating to the VIE program for managers, FACC, HR Paris and YMCA :
Supervise the recruitment selection process liaising with HR Paris and the managers.
Keep track of recruitment, manage the needs of the managers with the extension/replacement of VIEs.
Prepare the administrative part of the Training Plan for the managers, and follow up with managers for missing information or signatures.
This is done for the initial training plan and the extension training plan when the VIE is extended.
Liaise with the managers and the FACC.
Prepare company statements and company requests for the FACC, and other internal documents for VIE arrivals.
Handle the on-boarding, off-boarding and daily processes for the VIEs (orientation, I9, exit meeting, etc)
Meet with VIE if there are any issues.
Point person for day-to-day issues relating to the STT program for managers, the FACC and HR Paris.
Prepare the administrative part of the Training Plan for the managers.
Follow up with managers for missing information or signatures.
Prepare company statements and company requests for the FACC.
Handle the on-boarding, off-boarding and daily processes for the STTs
Manage the US Associate Training Program
Function as the primary contact for all participants in the program and handle all related inquiries and issues.
Assist with the job postings (College Websites).
Conduct sourcing, interviewing and identification of appropriate candidates.
Liaise with hiring managers and candidates for interview scheduling
Process on-boarding (offer letters, fee agreements, pre-hire paperwork, relocation, etc.) and off-boarding.
Handle requests for salary increases and performance bonuses.
Maintain the accuracy of the HR system
Conduct 6-month interviews and exit interviews.
Collect and return company property to IT.
Create change forms to notify HR and Compliance of any employee status or job changes.
Immigration Administrative Support/Back Up.
Assist with the immigration process as assigned, including but not limited to, responding to immigration-related queries from managers and employees related to visa processing, documentation, visa options, risks, etc.
Work with Immigration Specialist to answer visa questions.
Assist with the tracking of visa expiration dates and take appropriate action.
I-9 verification/reverifications, deletion of I-9 records according to retention dates, and conduct internal audits as necessary.
Maintain immigration files and purge according to policy.
Assist with the processing of immigration invoices and visa reimbursements
Provide support as needed.
Minimum of 1-3 years relevant work experience
